- Suspend pauses a member. Their record, plan, and history stay exactly as they are, they cannot book or check in, and one click puts them back. Reach for this first.
- Archive removes the member from active use. It cancels their memberships and future bookings, hides them from your lists, and keeps the record only for financial and legal history.
Which one do I want?
Use suspend for a member you expect to come back, or one you are pausing while something is settled - unpaid invoices, a disputed charge, a conduct issue, a doctor’s note. Because nothing is cancelled, you can still invoice them for what they owe while they are suspended.
Use archive for a member who has left and is not coming back.
Suspending a member does not stop their billing. If they should not be charged while they are away, pause their membership too - see Memberships.
Suspend a member
- Open the member profile from the Member list.
- Click the three-dot menu in the header, next to Edit.
- Choose Suspend and confirm.
Reinstate a member
Click Reinstate, either in the banner or in the same three-dot menu. The membership returns to active with the role, plan, bookings, and history it had before. Nothing needs re-entering. You cannot reinstate your own account. If your access has been suspended, another admin has to lift it.Suspending a colleague
Staff are members too, so the same action pauses a colleague’s access to the admin dashboard. Seniority applies:- Pausing anyone with dashboard access needs staff-management permission on top of
members.update.club. - A manager cannot suspend an admin or an account owner.
- Only an admin or an account owner can suspend an owner.
- You cannot suspend yourself, and you cannot suspend the last active account owner - somebody has to be able to administer the gym.
Archive a member
Archiving is in the same three-dot menu, below Suspend. It needs themembers.delete.club permission, and unarchiving needs members.update.club.
An archived member is kept for financial and legal history but is hidden from your lists, has memberships and future bookings cancelled, and cannot sign in. Find archived records under Members > Archive, reachable from the overflow menu on the Member list.
To bring someone back, open their record from the Archive and click Unarchive. Their contact details and history return, but their staff role and account links do not - re-add those by hand.
A member says they cannot sign in
Work through these in order:- Are they suspended? Open their profile. A suspended member shows a banner. Click Reinstate.
- Are they archived? Check Members > Archive. Unarchive the record if they should be back.
- Have they confirmed their email? An unconfirmed account is refused with a different message. Resend the invitation from their profile.
- Is their membership at another gym? Suspension and archiving apply to your gym only. Being blocked here says nothing about anywhere else.
