Every email 1Club sends on your behalf - booking confirmations, invoices, reminders, automations, and replies from the Inbox - carries a From name and address. Three settings decide what that looks like: a verified email domain, your organization Email, and each club Email. Get all three right and members see mail from your own gym. Miss the domain and they see a 1Club address instead, with your address only as reply-to. This page covers outbound mail. For capturing mail members send to you, see Email inboxes.

Overview

  • Verified email domain - Proves you own the domain so 1Club can send as you@yourgym.com. Added under Settings > Organization > Domains with purpose Email (SendGrid).
  • Organization Email - The fallback sender for organization-wide mail (invoices, notifications, welcome and account emails). Set under Settings > Organization > Details.
  • Club Email - The sender for anything tied to one location (booking confirmations, daily summaries). Set per gym under Settings > Clubs.
  • From vs reply-to - The resolved address becomes the From only when its domain is verified. Otherwise it drops to reply-to and 1Club’s platform address sends.
  • Display name - The club name when a club address is used, otherwise your organization name, otherwise 1club.

What members actually see

A delivered email’s From line is built as Display name <address>. Which address lands there depends on whether the domain is verified: In all three cases replies still reach you. Verification changes trust and deliverability, not routing.

The two Email fields

There are two places to type an email address, and they are not interchangeable.

Settings > Organization > Details > Email

The organization-level address. It is used for mail that is not tied to a single location, and it is also surfaced as your public contact address on the marketplace listing. See Organization.

Settings > Clubs > (each club) > Email

The per-location address, set on each gym alongside its phone and website. This is what members see on most of the email they receive, because the highest-volume mail (booking confirmations, cancellations, reschedules, order confirmations, daily summaries) is club-scoped.
A club Email always wins for club-scoped mail, even when its domain is not verified and your organization Email’s domain is. 1Club does not fall back to the organization address in that case. The result is mail sent from the 1Club platform address with the club address as reply-to, despite a perfectly good verified domain being available. Keep every club Email on a domain you have verified.

Which address is used for what

“Organization-scoped” does not simply mean the organization Email. See the next section.

How 1Club picks the From address

  1. Club-scoped mail uses that club’s Email if one is set. There is no fallback to the organization Email if it is missing verification; the club address is taken as-is. If the club has no Email, resolution continues as if the mail were organization-scoped.
  2. Organization-scoped mail builds a candidate list of every club Email plus the organization Email, then picks the first candidate whose domain is verified. If none is verified, it falls back to the first candidate in the list, which is a club address rather than your organization Email.
  3. The verified check then decides placement. If the resolved address sits on a verified email domain, it becomes the From. If not, 1Club sends from its platform address and puts your resolved address in reply-to.
  4. The display name is the club’s name when the resolved address belongs to a club, otherwise your organization name, otherwise 1club.
Step 2 means an unverified club address can be chosen ahead of your organization Email for organization-wide mail such as invoices. Verifying the domain your addresses share is what makes this deterministic.

Verify your email domain

Verification is per domain, not per address. Once yourgym.com is verified, any address on it (hello@, billing@, northside@) can be used as a From with no further setup.
  1. Go to Settings > Organization > Domains.
  2. Enter your domain (for example yourgym.com) and set Purpose to Email (SendGrid). The domain is created as soon as you finish typing it, so there is no separate Add button for email domains.
  3. 1Club provisions the domain and shows DNS records to add - three CNAME records. One is the return-path record on an em subdomain, the other two are DKIM signing keys (s1._domainkey and s2._domainkey).
  4. Add all three records at your DNS provider.
  5. Wait for DNS to propagate, usually 5 to 30 minutes, then click Verify.
The status moves from Pending verification to Verified. If the records are not found yet, the verify fails with an error and the status stays pending; add the missing records or wait longer and try again.
The record names 1Club shows are fully qualified (em1234.yourgym.com). Many registrars want only the relative part in the Host field (em1234), and append the domain themselves. If your provider does that, strip the trailing .yourgym.com before saving, or you will create em1234.yourgym.com.yourgym.com.

What verification does and does not cover

  • Subdomains are not covered. A verified yourgym.com does not authorize hello@mail.yourgym.com. Add the subdomain as its own email domain if you want to send from it.
  • SPF and DMARC are not managed by 1Club. The three CNAMEs set up DKIM signing and the return path. If you publish your own SPF or DMARC policy, maintain it yourself at your DNS provider.
  • A domain belongs to one organization. If another 1Club organization has already connected the same domain for email, adding it returns a conflict.
  • Deleting a domain removes it at SendGrid too. Your DNS records are left behind and become inert. Re-adding the domain mints a new em hostname, so you must replace the old CNAMEs rather than reuse them.
  • Changing an address does not need re-verification. Swapping hello@yourgym.com for frontdesk@yourgym.com works immediately. Swapping to a different domain silently drops you back to the platform From until you verify that domain too.

Trial sending

Organizations on a trial must have a verified email domain before they can send messages or run automations. Without one, sending is blocked and the admin shows a Verify your domain to unlock this feature dialog. Paid plans are never subject to this. See Platform subscription.

Worked examples

Padel club with a single location

A racket-sports gym runs one location on acepadel.com.
  • Verify acepadel.com under Organization > Domains with purpose Email (SendGrid).
  • Set Organization > Details > Email to hello@acepadel.com.
  • Set the club’s Email to bookings@acepadel.com.
Booking confirmations now arrive from Ace Padel <bookings@acepadel.com> and invoices from Ace Padel <hello@acepadel.com>.

Multi-location gym chain

A fitness organization runs three gyms on one domain.
  • Verify yourgym.com once. It covers every address on the domain.
  • Set each club’s Email to northside@, harbor@, and airport@yourgym.com.
  • Set the organization Email to billing@yourgym.com.
Members booking at Harbor see Harbor <harbor@yourgym.com>; the monthly invoice run goes out from Your Gym <billing@yourgym.com>.

Martial arts school that forgot one club

A jiu-jitsu academy verified northgatemma.com and set the organization Email correctly, but one club still has an old northgate.mma@gmail.com address.
  • Mail for that location sends from the 1Club platform address with the Gmail address as reply-to, because gmail.com is not a verified domain.
  • Worse, because that club’s address is a candidate for organization-wide mail too, it can be picked for invoices if it happens to come first.
  • The fix is to change that club’s Email to an address on northgatemma.com. No re-verification is needed.

Tips and best practices

  • Verify the domain before you fill in any address. The addresses are inert branding until a verified domain backs them.
  • Keep every club Email on the verified domain. One stray address on a free mail provider degrades that location’s mail and can leak into organization-wide sends.
  • Set the organization Email even if every club has one. It is the last candidate in the list and the sensible home for billing mail.
  • Send yourself a test booking confirmation after any change. The From line is the only reliable confirmation that resolution went the way you expected.
  • Do not delete a verified domain to “re-do” it. You will get a new em hostname and have to redo the DNS. Fix the address instead.
