A tournament is a draw that runs on an event: the event handles sign-ups, tickets, and payment, and the tournament holds the entry list, the bracket or table, and the scores. Owners and managers set tournaments up, and whoever runs the desk on the day enters results as matches finish.

When to use it

A tournament saves you the bracket sheet and the spreadsheet of scores. Registrations flow straight into the entry list, the draw is generated for you with seeds kept apart, winners advance on their own, and every completed match is recorded as a ranked match that moves the players’ ratings. Typical uses:
  • A Saturday tennis knockout - 16 members register for the event, they’re imported as entrants when you set up the tournament, you seed the top four, and the bracket fills in round by round as you enter scores.
  • A padel doubles round robin - six pairs play everyone once over an evening, and the standings table ranks them by matches won, then set and game difference.
  • A pickleball ladder night entered after the fact - you set up the tournament on yesterday’s event and enter the results from the paper sheet.

How it works

  • One tournament per event. The event is the occasion members sign up to; the tournament is the competition held at it. Only events that aren’t cancelled and don’t already have a tournament can host one.
  • Supported sports. Tennis, padel, and pickleball - the sports 1club Rating can score. Padel draws are of pairs; tennis and pickleball draws are singles. The team size comes from the sport, not from a setting.
  • Formats. Single elimination is a knockout bracket. When the field isn’t a power of two, the top seeds get byes in the first round. Round robin pairs every entrant with every other entrant once; with an odd number of entrants, one sits out each round.
  • Status. A tournament starts as Draft, becomes Published when you generate the draw, In Progress once a result is in, and Completed when no fixture is left to play and the event has started. Cancelled takes it off member surfaces until you reinstate it.
  • Ratings. Each completed fixture is recorded as a Ranked match. Walkovers, byes, and fixtures with a player who has no linked user account are not rated.

Turn on tournaments

Tournaments are part of competitions, which are off by default:
  1. Go to Settings > Events.
  2. Make sure Show Events is on.
  3. In the Competitions card, turn on Enable competition features.
The Tournaments tab then appears in the Events section, and event detail pages gain a Tournament line. See Events section.

The tournaments list

Events > Tournaments lists every draw in your organization, across all events. Each row shows the event and gym, Date, Sport, Format, Entrants, Played (results entered out of total fixtures, or No draw yet), and status. Filter by sport or status from the filters drawer. Click a row to open the tournament.

Set up a tournament

You can start from either side:
  • On Events > Tournaments, click Add tournament and pick the Event. The picker lists events that can still host a tournament, upcoming ones first. Choose Add Event at the bottom to create the event without leaving the dialog.
  • On an event’s detail page, use Set up a tournament on the Tournament line.
The dialog asks for:
  • Club - where the draw is played, and the gym its rated matches are recorded against. It defaults to the event’s gym and is required, even for an organization-wide event.
  • Sport - tennis, padel, or pickleball.
  • Format - Single elimination or Round robin.
  • Match length - Best of 1, Best of 3 (the default), or Best of 5 sets.
Saving opens the new tournament. For a singles draw, everyone registered on the event with a named attendee is imported as an entrant straight away. You need the operations.manage.club permission to create or manage a tournament.

Build the entry list

The tournament page starts with the entry list. Each row is an entrant (one player, or a pair for padel) with an optional Seed. A warning icon marks a player with no user account, whose matches can’t be rated.
  • Import registrations - for a singles draw, an Import N registrations button appears when people have registered on the event since the tournament was set up. Doubles registrations can’t be paired automatically, so add each pair yourself.
  • Add entrant - pick the player, or Player 1 and Player 2 for a pair. A contact can only be in the draw once.
  • Seed - open an entrant to set their seed. Seeded entrants are kept apart in the draw, so seeds 1 and 2 can only meet in a knockout final. Leave it empty for an unseeded place; unseeded entrants are placed at random. Giving a seed somebody already holds swaps the two.
  • Remove from the draw - takes an entrant out before the draw is generated.

Generate the draw

When you have at least two entrants, click Generate the draw. A knockout shows as a bracket, one column per round (Round of N, Quarter-finals, Semi-finals, Final). A round robin shows the standings table (#, Entrant, P, W, L, Sets, Games) above the fixtures grouped by round. Once the draw exists:
  • The entry list is locked. To record that someone pulled out, use Withdraw (and Reinstate to undo it). A withdrawn entrant’s played matches still count. A no-show for a single match is entered as a walkover.
  • Sport and Format can’t change. Use Edit to change the Club or Match length.
  • Clear the draw removes every fixture and score, unlocks the entry list, and takes back any rating changes already applied.

Enter results

Click a fixture to open Record the result. Results can only be entered once the event has started, and only when both sides are known.
  • Enter the Set scores, one row per set, using Add set up to the match length. A set can’t be level, and the dialog shows the winner as you type. A best-of-3 is won at two sets, so a third set after a 2-0 is refused.
  • For a match that wasn’t played, turn on Won by walkover and pick the Winner.
  • Clear this result takes a score back off. In a knockout, it also removes the winner from the next round.
In a knockout, the winner moves into the next round automatically. If the winner has already played their next match, you can’t change or clear the earlier result until you clear the later one first. In a round robin, the standings rank entrants by matches won, then set difference, then game difference. If exactly two entrants are still level, their head-to-head result separates them; otherwise they share the rank.

Other actions

The tournament page header has:
  • Edit - the tournament settings described above.
  • Edit event - opens the event, where dates, description, tickets, and registrations live.
  • Cancel tournament (in the overflow menu) - takes it off the member portal and the website but keeps the draw and entry list. Reinstate brings it back.
  • Delete (in the overflow menu) - deletes the entry list and the draw. Matches already recorded stay in each player’s history as disqualified, so their rating changes are taken back out.

Where members see tournaments

Members see the tournament, including the entry list and, once generated, the draw and scores, on the member portal. A tournament is visible exactly when its event is: the event must be live, and a Member only event shows the tournament only to signed-in members of your organization. Use Member only if you don’t want entrants’ names visible to the public. Cancelled tournaments, and tournaments of organizations with competitions switched off, are hidden.

Troubleshooting

Issue: Generate the draw is disabled. Solution: A draw needs at least two active entrants. Import registrations or add entrants first. Issue: Saving a result fails with “This event has not started yet”. Solution: Results can only be entered from the event’s start time. Check the event’s date on its detail page. Issue: A completed match didn’t change anyone’s rating. Solution: Walkovers and byes are never rated, and neither is a fixture with a player who has no user account (the warning icon in the entry list). Link or invite the player before the tournament so their matches count. Issue: I can’t change a first-round score. Solution: The winner has already played the next round. Clear that later result first, then correct the earlier one. Issue: The event I want isn’t in the Event picker. Solution: The picker hides cancelled events and events that already have a tournament. Each event can host one tournament.
