# Suspend and archive

> Pause a member's access without unmaking them, or archive the record for good. How the two differ, what each one stops, and how to reverse them.

Two actions stop a member using your gym, and they are not interchangeable.

* **Suspend** pauses a member. Their record, plan, and history stay exactly as they are, they cannot book or check in, and one click puts them back. Reach for this first.
* **Archive** removes the member from active use. It cancels their memberships and future bookings, hides them from your lists, and keeps the record only for financial and legal history.

Both live in the three-dot overflow menu on the [member profile](/members/member-profiles), and both apply to your gym alone. The same person can stay an active member somewhere else.

## Which one do I want?

|                                  | Suspend                   | Archive                                 |
| -------------------------------- | ------------------------- | --------------------------------------- |
| Member can book or check in | No | No |
| Member can sign in to the portal | No | No |
| Memberships and future bookings | Untouched, still billable | Cancelled |
| Shows in the Member list | Yes, marked suspended | No, moves to the Archive |
| Staff role and permissions | Kept | Removed |
| Reversing it restores everything | Yes | No, the role and account links are gone |
| Permission needed                | `members.update.club`     | `members.delete.club`                   |

Use **suspend** for a member you expect to come back, or one you are pausing while something is settled - unpaid invoices, a disputed charge, a conduct issue, a doctor's note. Because nothing is cancelled, you can still invoice them for what they owe while they are suspended.

Use **archive** for a member who has left and is not coming back.

<Note>
  Suspending a member does not stop their billing. If they should not be charged while they are away, pause their membership too - see [Memberships](/members/memberships).
</Note>

## Suspend a member

1. Open the member profile from the [Member list](/members/member-list).
2. Click the three-dot menu in the header, next to **Edit**.
3. Choose **Suspend** and confirm.

The profile then shows a banner saying the member is suspended, with a **Reinstate** button inside it. The member is signed out of the member portal straight away and cannot sign back in to your gym.

Only a member with an active account can be suspended. A member who has been invited but has not accepted yet, or who has not finished signing up, has no active account to pause - invite or archive them instead.

## Reinstate a member

Click **Reinstate**, either in the banner or in the same three-dot menu. The membership returns to active with the role, plan, bookings, and history it had before. Nothing needs re-entering.

You cannot reinstate your own account. If your access has been suspended, another admin has to lift it.

## Suspending a colleague

Staff are members too, so the same action pauses a colleague's access to the admin dashboard. Seniority applies:

* Pausing anyone with dashboard access needs staff-management permission on top of `members.update.club`.
* A manager cannot suspend an admin or an account owner.
* Only an admin or an account owner can suspend an owner.
* You cannot suspend yourself, and you cannot suspend the last active account owner - somebody has to be able to administer the gym.

A suspended colleague is signed out of the dashboard within a minute and cannot sign back in until someone reinstates them.

## Archive a member

Archiving is in the same three-dot menu, below **Suspend**. It needs the `members.delete.club` permission, and unarchiving needs `members.update.club`.

An archived member is kept for financial and legal history but is hidden from your lists, has memberships and future bookings cancelled, and cannot sign in. Find archived records under **Members > Archive**, reachable from the overflow menu on the [Member list](/members/member-list).

To bring someone back, open their record from the Archive and click **Unarchive**. Their contact details and history return, but their staff role and account links do not - re-add those by hand.

<Warning>
  Archiving cancels memberships and future bookings, and unarchiving does not restore them. If you only want to stop someone temporarily, suspend them instead.
</Warning>

## A member says they cannot sign in

Work through these in order:

1. **Are they suspended?** Open their profile. A suspended member shows a banner. Click **Reinstate**.
2. **Are they archived?** Check **Members > Archive**. Unarchive the record if they should be back.
3. **Have they confirmed their email?** An unconfirmed account is refused with a different message. Resend the invitation from their profile.
4. **Is their membership at another gym?** Suspension and archiving apply to your gym only. Being blocked here says nothing about anywhere else.

If none of these apply and the member is told their account cannot be used at all, the address has been refused across the whole 1club platform rather than by your gym. Contact support at [support@1club.ai](mailto:support@1club.ai) - no gym can set or lift that.
